READ IT (OR WEEP)
Ugh! No one likes them (especially your boss) and the good news is that they're avoidable. In our role as communications professionals, it’s our responsibility to minimize mistakes. Yes, we’re human...but our goal is to be superhuman.
Aside from grammatical errors and just plain misspelled words, here are some things to look for when proofing any written communication.
Words that many people keystroke incorrectly:
You instead of
your
And instead of
an
One instead of
on
Of instead of
or
Out instead of
our
Word instead of
work
Also, look for words typed twice (like ‘the the’). This occurrence is very easy to overlook when proofreading – especially if one of the words is at the end of a line and the repeated word begins a new line.
One of the most overlooked areas when proofing are headlines. For reasons unknown, people assume that headlines are correct and skip right to the body copy. See if you catch yourself doing this the next time you proof something.
TRIAD suggests the best way to proof is to read slowly....point to each word with a pen or pencil as you read--- so that you read what is actually there--- and not what you think it should be. This procedure is not the recommended method for speed-reading skills, but it should help you find the errors.

DRAT AND DOUBLE DRAT
Designers hate them, proofreaders don’t like to see them and our bet is that if you're between 40-65 years-old, you hit the space bar twice after you type a period mark. Most typewriting teachers drilled the idea of “TWO SPACES” after each period into the daily exercises of their pre-computer students. Although it was appropriate for the times, it is currently not necessary or desirable (and if you proofread the first sentence of this blurb, you can surmise that a 40-something person wrote this because there are a couple spaces after the first sentence.)
